Super Sort and Filterize…then you won’t go cross-eyed!

 Excel…a fabulous application for data management and lists (and quite under utilized, I might add!) Recently, I taught a course that focused on Sorting and Filtering your Excel Spreadsheets.  Manipulating your data can be quite powerful and really make you look professional in the snap of finger.  Here are some tips on manipulating data with your spreadsheets:

  1. When organizing your data or list information, be sure to add a header row Ex: First Name, Last Name, Address, etc. If you need to manipulate the data or do a merge later on, this makes it easier.
  2. Make sure there are no breaks or empty rows between the data.  This stops the sorting and filtering tasks because Excel doesn’t realize there is more data past the empty row.
  3. Freeze your data when you have a large spreadsheet, this will help you view those beginning columns and rows.
  4. Create a muli-level sort to view your data alphabetically by different columns (and don’t select the data first, just click within the data range).
  5. Use the Autofilter option, to view ONLY the rows of data you need. This is helpful if you need to print just that information or take a call with a client and quickly filter what’s relevant.
  6. Create a subtotals if your data has numbers that need totalling.  This is another great way to filter the data to only view what you need.
  7. Make sure to print preview your spreadsheet before printing! Here are some printing tips (column headings, scale the worksheet before printing, header and footers in worksheets, page numbers) so that you don’t end up with puzzle pieces!
